Finance and Accounting Officer

FRANKFURT ZOOLOGICAL SOCIETY (FZS) was established in 1858 and is an internationally operating conservation organization based in Frankfurt/Main, Germany. The Society’s main focus lies in eastern Africa, where FZS long-serving president, Prof. Bernhard Grzimek, invested much time and effort. FZS is committed to preserving wildlands and biological diversity in the last remaining wilderness areas on the planet. Momentarily, FZS leads and supports about 24 conservation projects in 16 countries.

In Indonesia, FZS has been working directly and through local partners since 2001, and FZS is officially working through a local foundation named YAYASAN KONSERVASI EKOSISTEM HUTAN SUMATERA (Yayasan KEHUS) since it was founded in March 2014.

Yayasan KEHUS is currently looking for The Finance and Accounting Officer, to be stationed in Jambi, Sumatera Office.

Job Summary
The Accounting and Finance Officer will report directly to the Chief (Senior) Accountant. S/he will support the Finance and Accounting Team in Jambi to ensure project accountability according to the Indonesian Financial Accounting Standards, Yayasan KEHUS regulations and donor’s requirements. S/he will closely co-operate with field bookkeepers and other staffs.

Main Responsibilities
  • Review field expenditure reports including all supporting documents. Ensure supporting documents are complete and in line with Yayasan KEHUS policy and regulations.
  • Review and check the correctness of budget codes, donor codes, and accounting system codes, to make sure expenses to be booked in the correct classification and budget allocation.
  • Input transactions to the system: prepare sheets to upload expenses into ABACUS accounting system.
  • Produce the draft of monthly project reports from accounting system.
  • Assist the Chief Accountant/ management on Audit purpose.
  • Support FZS Indonesia Programme – Yayasan KEHUS Management in the implementation of good administrative and financial systems.
Other Responsibilities needed
  • Review operational budget reports given by field staffs.
  • Check invoices and prepare payments, prepare payment vouchers and received vouchers.
  • Prepare cash books, bank books, and monthly bank reconciliation.
  • Calculate Employee Taxes, and other article of taxes needed.
  • Createmaintain, and update administration and financial database, including employee files/data if needed.
  • Maintain a proper filling system of all financial documents and securely kept in a lockable cabinet.
  • Support procurement process, preparing Purchase Orders, Receipt of goods, including booking of staff travels, accommodation; workshop and training preparation/arrangement, whenever needed, internal & external meetings.
  • Maintain and update asset and inventory registers.
  • Other general administration and finance duties.

Qualification
  • Bachelor’s degree in Finance, Accounting and/or Administration.
  • Minimum 3 years working experience in the same role.
  • Good interpersonal and written, verbal and listening communication skills (Intermediate verbal and written skills in English).
  • Knowledge of electronic/online banking and Microsoft Office with MS-Excel, at least to a medium level.
  • Experience with accounting softwares.
  • Knowledge of national laws related to taxes.
  • Attention to detail and high level of accuracy.
  • Ability to work to tight deadlines under pressure.
  • Able to work effectively with non-financially trained professionals.
  • Willingness to live and work in Jambi, Sumatra, Indonesia.

UNIDO Job Vacancy: Project Assistant to RECP Project Indonesian - Bandung

UNIDO is now seeking highly qualified national candidates to fill the following position:

Duration of Contract: 1 year full time, with possibility for renewal and extension depending on satisfactory performance appraisal and continued project funding.

Project Context
Under the supervision of Project Manager (PM) and day to day with Chief Technical advisor (CTA)  provides administrative and financial support to RECP project (In all project site and partners in Indonesia based in Bandung) in line with Financial/procurement rules and regulations using SAP system.

Main Duties
  • Responsible for the administrative and financial tasks related to the overall activities of RECP project including the assistance to the CTA and to project activities such as meetings, consultations, missions, workshops and seminars.
  • Arrange logistics for several  missions, i.e hotel bookings, consultations and prepare draft programme; confirm appointments with projects, counterparts, local authorities etc.
  • Monitor the Field Operating Budget of the RECP project, raise Shopping Carts/Purchase Orders in SAP/SRM for all procurements (incl. payments of the subcontracts), assets. Raise Shopping carts for payments through Straight Expenses (SE) and Operational Cash Advance (OCA). Follow up with HQ (RPF/OD) and FIN/APT the issuance of ASR; submit to HQ budget revisions as required and keep records of all supporting documentations.
  • Raise Trips in SAP Travel Management for the project staff; ensure logistics for the trip is in place (Visa, hotel, DSA etc.) and also raise Expense Report in SAP/TM collecting supporting documents of the mission.
  • Maintain an updated local inventory of assets and reports procurement of new assets to PSM/GES.
  • Assist CTA in non technical language translation required for administrative/accounting purpose.
  • Route/co-ordinate incoming & outgoing correspondence and take appropriate action as directed by CTA.
  • Review Office, subcontractors and project/project  partner bills, prepare requests for payments to UNIDO HQ, follow up and communicate outcome to concerned parties.
  • Screen incoming mail and drafts replies for CTA signature, provides relevant background information whenever necessary, keeps track of pending matters, follows up with partners offices on deadlines.
  • Maintain files (both paper and electronic) and databases related to projects work (all partners and sub contractors), projects ASRs.
  • Maintain the proposed activity plan and liason with  demo units/estate management/project partner and subcontractor in consultation with CTA.
  • Performs other duties as assigned by CTA.
Requirements

Education:
Secondary education completed -- Advanced university degree in Administration or other relevant discipline with a specialization in finance will be an asset.

Technical and Functional Experience:
A minimum of 5 years practical experience in the field of administration, including experience at the international level involving technical cooperation in developing countries. Exposure to the needs, conditions and anticipated problems in Indonesia.

Languages:
Fluency in written and spoken English and Bahasa is required. Fluency and/or working knowledge of another official UN language, desirable

The Committee for Inter‐Parliamentary Cooperation (Badan Kerjasama Antar Parlemen  ‐ BKSAP) is the body in DPR RI which has the task to promote parliamentary diplomacy at bilateral, regional and international level. The current increasing activities of parliamentary diplomacy and the dynamic of international politics needs greater role of the Committee.

The Committee invites committed, intellectual, hard‐working, and highly motivated individual to fulfill the vacant post of fulltime Expert Staff for the Committee for Inter‐Parliamentary Cooperation DPR RI. The position will be based on contract until 2019 and renewable.

Duties and Responsibilities

  • Tracking current issues and events within the international politics;
  • Analyzing international issues in relations with parliamentary diplomacy in bilateral, regional and international scope;
  • Preparing position papers on social and political affairs, such as gender issues, MDGs, poverty, disaster, education, health, environment, human rights, international trade, international economy, peace and security, global partnership, etc.

RFP - HR Management Trainer, JABODETABEK - Indonesian

Job Title: HR Management Trainer

Report to: Grants Manager

Background
LINKAGES (Linkages across the Continuum of HIV Services for Key Populations Affected by HIV Project) is a five-year cooperative agreement led by FHI 360 and funded by the U.S. President's Emergency Plan for AIDS Relief. Pact, along with IntraHealth International and the University of North Carolina at Chapel Hill, are partnering with FHI 360 to conduct a range of activities to reduce HIV transmission among key populations. The approach focuses on reaching key populations, ensuring testing, improving their enrollment in HIV care and treatment, and retaining them in the service continuum over time. Pact supports the LINKAGES project to strengthen the technical and organizational capacity of CSOs and government, and to provide capacity development support through provision of direct technical assistance as well as through South to South mentoring. Targeted focus areas for LINKAGES are the five districts of Jakarta and three districts in Papua.

LINKAGES Indonesia is partnering with 9 CSOs in Jakarta and 3 CSOs in Papua to reach out to key populations in target focus areas of LINKAGES.  LINKAGES also is partnering with 4 private clinics, to develop their capacity to be an effective and efficient facilities and KP friendly at the same time.

To support the development of organizational capacity of these partners, it was determined through ITOCA process that the partners need Human Resources Capacity Development such as reviewing and improving HR manuals to consider the best practice of recruitment, grading/payroll system and working hour management and how to apply it.

A one-week workshop will be conducted to all CSOs and Clinical partners of LINKAGES to develop HR Management capacity of the partners, and LINKAGES would need consultant/s to be the facilitator of the workshop.

Objective
The goal of the workshop is to give understanding to the importance of a good management of Human Resources and how to apply it to each perspective organization of LINKAGES partners.  The main aspects that will be trained are: Updating Human Resource Manual to adopt HR management best practices and to match to the needs of organization and how to perform.

Expected result of the workshop are:

  • Each partner understands the importance of a good Human Resource Manual
  • Participants will have knowledge the best practices and how to do:
    • Time recording (working hour (to different project), annual and sick leave, etc)
    • Recruitment and termination
    • Setting up grading system, promotion mechanism and salary increment mechanism
  • Participants will have the ability to update Human Resource Manuals

  • Prepare for workshop module and materials for HR Management Workshop that covers the main aspects written in the Objective section
  • Perform 4-day workshop
  • Conduct pre and post workshop assessment

The Center for International Forestry Research (CIFOR) envisions a more equitable world where forestry and landscapes enhance the environment and well-being for all. CIFOR is a non-profit, scientific institution that conducts research on the most pressing challenges of forest and landscape management around the world. Using a global, multidisciplinary approach, we aim to improve human well-being, protect the environment, and increase equity. CIFOR is looking for Director, Human Resources

Overview 
The Director will provide the organization with overall strategic human resources leadership and will contribute to CIFOR’s initiatives. The Director will ensure the development and implementation of global best practices in human resources management and will foster a workplace environment consistent with the organization's values and mission. The Director will lead the Human Resources (HR) team in the provision of proactive and results-oriented services.

The Director reports to the Director General and is a member of the CIFOR Executive Management Committee.

Responsibilities:
  • As a member of the Executive Management Committee (EMC) the Director will:
    • Participate in the overall management of the organization
    • Prepare and lead HR discussions at monthly EMC meeting 
    • Contribute to the development of the Center's plans and initiatives, providing advice from the perspective of the impact on staff. 
  • Develop, review and update the HR strategy and management policies, systems and practices in order to:
    • Fully support the implementation of CIFOR's strategy 
    • Reflect global best practices in human resources management, including best practices in gender and diversity 
    • Meet ethical standards and legal requirements, especially in compliance with regulations at the national level that affect our offices around the world.
  • Assisted by HR professionals, plan, develop, and manage the human resources functions, which include: 
    • HR strategy, design and implementation:
      • Evaluate and advise on the impact of programs, initiatives and strategies that affect the attraction, motivation, development and retention of staff 
    • Staffing and contract management:
      • Oversee staffing strategies and implementation plans and programs to identify talent within and outside the organization.
      • Identify appropriate and effective external sources for candidates, including manage partnerships with relevant organizations to ensure the appropriate implementation of secondments and employment relationships.
      • Oversee the contract management of all staff, secondees, partners and consultants, and ensure compliance with the organization's policies and procedures and the laws/regulations applicable to all CIFOR offices. 
      • Manage an effective orientation program to welcome and integrate new employees into the organization’s culture; and 
      • Manage all staff movements: promotion, transfer and departure of staff including implement an exit interview program to obtain inputs/feedback concerning the organization's operations, management and programs.
  • Organizational development:
    • Develop and review the organizational design–the organization’s structure, design and classification of positions, and human resources planning. 
  • Compensation management:
    • Develop parameters for and oversee an equitable compensation and benefits structure, including salary packages and benefits pertaining to health care, retirement, insurance, leave and expatriation (e.g. housing, education assistance, relocation and repatriation, and other relevant benefits); and
    • Continually assess the internal equity and also the competitiveness of the compensation programs against the relevant comparable organizations and markets.
  • Performance Management:
    • Oversee the performance management process, and assist the management in the analysis of both individual and team performances.
  • Learning and development:
    • Lead needs assessment to identify competency, knowledge and talent gaps, and develop professional development plans, learning and training programs based on organizational and individual needs.
    • Manage the upward feedback program for the senior management team; and 
    • Encourage knowledge sharing throughout the organization.
  • HR Information Systems:
    • Enhance and/or develop and implement the HR Information Systems (HRIS) to improve the overall operation and effectiveness of the organization. In particular, ensure the HRIS database provides timely and accurate information.
  • Employee relations:
    • As a senior internal consultant and facilitator assist managers and employees in resolving employment and/or performance issues; and
    • Provide managers with coaching and technical advice in people management.
  • Personnel administration:
    • Ensure that all personnel transactions follow the appropriate procedures and that all requirements are met prior to the approval of a transaction.
Lead, manage and evaluate the HR team plan and facilitate the development of performance plans for the team members. Lead the team in providing expert and customer-oriented services. 
 
Introduce international HR policies, programs and issues to the team and establish standards for the organization in these areas. Understand the differences among national and international policies that affect our work, and coordinate the integration of policies and programs where possible. 

Plan and manage HR annual budgets and other financial accountabilities of the Human Resources Division. 
 
Liaise with centers, institutions and initiatives within the Consultative Group for International Agricultural Research. 
 
Support the CIFOR Board of Trustees and serve as secretary to the Nominations and Human Resources Committee.

Carry out other relevant tasks and projects as required by, and mutually agreed with, the Director General. 

Requirements:

Education, knowledge and experience
  • Advanced degree in Human Resources Management, Business Administration or related studies and progressive experience in International HR management preferably in an international organization;
  • Extensive human resources knowledge, with experience in change management and organizational development;
  • Have sound judgment, demonstrate exceptional facilitating skills, and have proven diplomatic and influencing skills;
  • Value the sharing of information and continuous improvement in a cooperative atmosphere of constructive evaluation and learning, and committed to staff development;
  • Outstanding written and spoken English is required, while proficiency in other international languages is desirable. 
Terms and Conditions: 
  • This is an internationally recruited staff (IRS) position;
  • Competitive remuneration in US Dollars commensurate with skills and experience;
  • The appointment will be for a period of two years, inclusive of a nine-month probationary period with the possibility of extension contingent upon performance, continued relevance of the position and available resources;
